Sirius Report Archival and Distribution application is conceptualized as a service platform for fragmented Physician practices and Individual transcribers, who can subscribe and use the value added services, which is normally available only to larger hospitals otherwise. This application is designed in the Transcription service provider perspective where a Transcription Vendor will have complete managerial control over the entire transcription process. The Vendor will be able to create its own Clinics, its Transcribers, its Editors and manage the operation from Dictation upload to Allocation of Dictations to Transcribers and Editors, Monitor the Live workflow and do a final verification process in the Vendor level. After the Vendor approves the Reports, they are produced online to the clinics for Final corrections and signing. Once signed the reports become read-only and are printed or faxed by the clinic staff. The flow of Dictations from various clinics and thro various levels of Transcribers and Editors can be set to Manual or Automatic operation. Likewise Reports set with various flags can take a preset path thro the Editors, Team Leads, Managers and Vendors.
This application caters to the need of private physicians and clinics and brings them a lot of features available only for bigger hospitals otherwise.
Transcription providers by taking this application to their own clients enhance the overall process of Handling, Storing and Distributing the reports that they transcribed. So using this platform the Transcription provider also promotes themselves to provide the value added services to their clientele, which further nourishes the business relationship.

Web enabled multi-tiered approach
The overall system is developed in a multi-tiered approach on a .net platform with Microsoft SQL as the backend.
Smart client or Web client accessibility
The Multi-modal Client access is enabled either via Windows Smart client or Web browser based approach. This duality in approach suits varying requirements of Security, Speed and Convenience of access.
Centralized storage of Dictations and Reports facilitating Easier Maintenance
The Dictations are stored in a centralized location and are accessible via FTP or thro the Report A&D system catering to diverse client requirements. The centralized storage ensures proper attention and Backup by IT personnel. Also Search query for any previous report with any search attribute returns the Reports in seconds. This eliminates the need to go thro a pile of documents, when a need for reference arises.
Easy Report accessibility in right restricted manner
The Reports can be accessed by the Dictating Physician for review and once reviewed and Signed, the Report becomes read-only PDF. This Report can be further accessed by users who have specific rights to view the reports.
Auto delivery of reports via Fax and E-mail
This feature allows the reports to be delivered to Referring physicians or Insurance companies electronically. A centralized Fax server collects all requests for the fax to be sent and deliver to every Fax machine, without any human intervention. Also e-mails are sent to concerned person pre-configured to receive the Report copy. Detailed logs are maintained to monitor the Success and failure of these deliveries.
Practice, Physician and Referral Analysis Tool
For any Practice Manager it is a boon to keep updated on the intrinsic details of the business. With this tool the Practice Managers have access to the information as How many references from a particular referring physician, How many cases attended by a particular physician, How many reports transcribed by a particular transcriber and so forth. Moreover the List of Progressing Referral points and Declining referral points help analyze the business and take adequate actions.
Activity and Access logs
For security purposes all access logs on Reports and dictations are captured and stored. Likewise all User activities in a particular Login session is being captured and stored. Intuitive user interfaces provide access to these logs for monitoring purposes.
Follow-up Maintenance
When the Reports are transcribed the Follow-up information gets captured in the system. Search interface displays follow-ups between any period, and further can initiate actions as sending reminders and so forth.
Automated Mammogram Analysis for Radiology Centers
This is a plug-in module for Radiology clinics. These clinics are supposed to do an Audit on the total Mammogram done on a particular year and by every Radiologist. This Analysis is automatically done here giving out textual and graphical representations of all the Mammograms done and their respective categories. It is also automatically taken care while a Category-0 is replaced by a valid Birads category on a subsequent study.
Preliminary Reports
In some cases even before the report is being dictated, certain crucial information may have to be conveyed to the Primary or family physician by a Specialist or a Radiologist. In such a case the dictating physician can pull down a module on the ReportVault and key in the relevant information. This information is automatically formatted and faxed as a Preliminary report while the Fax number is taken from the database.
Automated Patient information Letters
This is a letter module where standard letters could be configured and stored. Rules can be set to send out letters automatically if it meets the criteria. The Letters will be filled with Patient details or Referring physician details automatically from the database.
HL - 7 Compatibility
Sirius ReportVault adheres to the regulations set by HIPAA and conforms to the standards set by HL-7 protocol. It can receive standard HL-7 protocol messages and parse them for Demographics, Studies and Appointments.
